MINUTES OF MEETING

1. Alumni Hostel Project

The President acknowledged the efforts put in by the previous teams in taking forward the Hostel Project to the present stage under the able guidance of Sri MV Rao, the Project Coordinator. He, however, stressed the need to reach out to the others to garner funds to be able to complete the construction on schedule. Additional members may be inducted in the Executive Committee in due course to accelerate the fund-raising drive.

2. Additional (third) floor in the Hostel Block

Construction of an additional floor would require an additional Rs. 1,24 cr, which will take time to raise. The VC is also insisting on handing over the Hostel Block at an early date. It is, therefore, decided to put off this proposal for a later date.

3. Date for conducting the AGM in future.

To enable the outstation members to make their travel plans in advance it is decided to conduct the AGM on the Second Sunday of December in future.

4. Membership drive.

It is decided to intensify the Membership Drive to enrol new members, particularly from the unrepresented Batches.

5. Two minute silence in memory of departed faculty and alumni members

A two minute silence was observed in memory of departed faculty members and alumni members.

The following points were discussed and resolved:

1. Inauguration of the Hostel Block

The DATE for the inauguration is 26th April as desired by the Vice Chancellor. It may be noted that this day is the “Formation Day” of Andhra University and the “Centenary celebrations” (in the year 2026) are planned to kickstart on this date. All efforts are, therefore, to be made to meet the date.

2. Construction of 3rd floor in the Hostel Block

This is not to be taken up now since the “Date of Inauguration” is sacrosanct and Hostel Block should be ready in all respects for the event on 26th April 2023.

3. Setting up a Library in the Hostel Block

This was proposed by Dr Madhav Babu. This point will, however, be reviewed after the inauguration and setting up of the full-fledged Alumni office.

4. Availability of additional funds

Funds to the tune of about Rs 90 lakhs are available over and above the estimated revised cost of 3.3 cr for the Hostel Block. This amount is planned to be utilised for providing compound wall, solar power, landscaping, scooter shed etc in addition to maintaining minimum Corpus fund, payment of IT. Auditors fee and meeting other miscellaneous expenses like plaques for donors, impervious coating over the roof slab, fans, office furniture, inauguration exp etc.

5. Donation of office equipment by Sri N Veerabhadra Rao

Sri MV Rao thanked Sri N Veerabhadra Rao (1969 Mech) for his donation of 12 chairs, 1 executive chair, 3 desktops and 2 steel cupboards for the Alumni office.

6. Chief Guest for the Inauguration of Hostel Block

The President, Sri KVV Rao, will arrange to invite an appropriate Dignitary in consultation with the VC

7. Employing an Office Assistant

It is decided to employ an Office Assistant by paying an honorarium of Rs 4000 to 5000 a month. He or she will be responsible for maintaining the Office in addition to providing necessary secretarial assistance as well as coordinating with various Departments for collecting and compiling Alumni data.

8. Provision of fans in all the rooms

Dr Rajesh will coordinate selection and installation of fans in consultation with Prof Mallikarjuna Rao.

9. Air conditioning for the Alumni office

Two AC units may be provided in the Alumni office subject to availability of funds.
